WHY THE RIGHT LABEL MATTERS

If you are shipping or mailing something, it needs a label. Beyond the basic address, labels carry barcodes, handling instructions, compliance information, and branding, and each of those jobs calls for a different label type.

The right label depends on what you are labeling, how many you need, what kind of printer or equipment you have access to, and how long the label needs to last once applied. Stock printed labels, laser sheet labels, and thermal labels each serve a different purpose, and choosing the wrong type can mean wasted time, wasted money, or labels that do not hold up for the job.

SECTION 01

STOCK PRINTED LABELS

Stock printed labels come pre-printed with handling instructions for the shipper or end customer. They are not used as address labels. Instead, they carry messages like "Caution, Heavy", "This Side Up", "Handle With Care", "Refrigerate Upon Arrival", or "Hazardous Waste". They are applied to the outside of a carton, crate, or pallet, and some messages, such as hazardous material warnings, may also be required for regulatory compliance.

Because the message is already printed, there is nothing to design or set up. You peel the label and apply it, which saves time on packing lines that handle the same kinds of shipments repeatedly. Bright, eye-catching colors, usually red, orange, or yellow, help the message stand out against a plain corrugated box.

Stock labels come in standard sizes most commonly seen on cartons, ranging from small 2" x 3" notices up to larger 4" x 6" or 6" x 6" warning labels meant to be seen from a distance on a pallet. Colors and message wording follow long-standing shipping industry conventions, which is part of why they are so effective. A red "Fragile" label or a yellow "This Side Up" arrow is instantly recognizable to anyone handling freight, regardless of language.


MATERIAL HANDLING

Instructions for how a package should be handled in transit, such as "This Side Up", "Fragile", or "Use No Hooks".

STORAGE INSTRUCTIONS

Notices like "Refrigerate Upon Arrival" or "Keep Dry" that tell the recipient how to store the contents.

SAFETY WARNINGS

Caution and hazard messaging, including D.O.T. and hazardous material labels required for regulatory compliance.

MIXED CARTON LABELS

Used to flag that a carton contains more than one type of item, helping receiving staff sort shipments correctly.


ARE STOCK LABELS A GOOD VALUE?

Stock labels are sold by the roll, often with as many as 1000 of the same label. That makes them best for large shipping and distribution centers that need to repeat the same message on a lot of packages. If you only need a special label occasionally, laser sheet labels may be the better fit since you can print just what you need without buying a full roll.

LASER SHEET LABELS

Laser sheet labels are widely used in offices and homes as well as distribution centers. They commonly come in standard 8.5" x 11" sheets that run through a typical laser printer. They are a strong choice for occasional or low-volume label printing, and are easy to customize with most word processing programs, including images and graphics.

A standard sheet typically holds anywhere from one full-page label down to 30 small address labels, with common formats including 1" x 2-5/8" address labels, 2" x 4" shipping labels, and full-sheet 8.5" x 11" labels for larger packages or signage. Most laser sheet labels are made from a white matte or glossy paper stock, though weatherproof and waterproof polyester options are available for labels that need to survive rain or rough handling.

Because they print through a standard office printer, you can create a custom layout in any word processor or design program, add a logo, switch fonts, or print in color, all without specialized software or equipment.

CAN YOU USE LASER LABELS IN AN INKJET PRINTER?

Most laser labels can safely be used in an inkjet printer. The reverse is not recommended: the heat of a laser printer can melt inkjet label adhesive and jam the printer. Check the label instructions to confirm which printers it supports before running a full sheet.

THERMAL LABELS: DIRECT THERMAL VS. THERMAL TRANSFER

Thermal labels are printed using a specialized printer rather than a standard office printer. They are used for address labels, shipping labels, barcodes, and product identification, and they print very fast, making them a strong fit for high-volume warehouses, distribution centers, and ecommerce fulfillment. There are two types: direct thermal and thermal transfer.

DIRECT THERMAL LABELS
Direct thermal labels have a heat-sensitive chemical layer built into the label itself. The print head heats in precise patterns to create the image, so no ribbon is required. Common sizes include 4" x 6" shipping labels and 2" x 1" or 1" x 1" small product and barcode labels.

BENEFITS: Less expensive overall since there is no ribbon to buy; simpler to use; comes in a range of sizes and colors; faster setup with one less consumable to manage

DRAWBACKS: More fragile and less durable; the image can fade with heat, sunlight, or scratching over time; most stock options use permanent adhesive

BEST FOR: Retail pricing labels, dispatch labels, and short-term warehouse labeling where the label only needs to survive a few weeks

THERMAL TRANSFER LABELS
Thermal transfer labels use a ribbon. The print head heats the ribbon to transfer carbon pigment onto the label, producing a crisper, more durable image. They are available in paper, polypropylene, and polyester facestocks depending on how harsh the environment is.

BENEFITS: Crisp, durable image well suited for barcoding; holds up over long-term storage, outdoor exposure, and long-distance shipping


DRAWBACKS: Requires a ribbon matched to the label material, which adds to the total cost; usually a permanent adhesive

BEST FOR: Barcodes, asset tags, product labeling, and cross-country or international shipping where the label has to stay scannable for a long time



BOTH TYPES PRINT IN BLACK AND WHITE

Direct thermal and thermal transfer labels both produce black and white images, but they are used a little differently. Direct thermal is best for items that move and get used quickly, like a dispatch label or retail price tag. Thermal transfer is the better choice when the label needs to last, such as for barcoding, asset tracking, or long-distance shipping where the label might sit on a pallet for weeks before it is scanned.

SECTION 04

PRINTERS AND RIBBONS

Thermal labels require a dedicated thermal printer rather than a standard office printer. Choosing the right printer and, for thermal transfer, the right ribbon, matters just as much as choosing the label itself.


DESKTOP PRINTERS


Built for lower-volume printing in an office, retail counter, or small shipping area. Compact footprint, easy to load, and typically prints up to a few hundred labels per shift. A good fit for businesses printing dozens to a few hundred labels a day.

INDUSTRIAL PRINTERS


Built for continuous, high-volume printing on a packing line or distribution center floor. Larger ribbon and label rolls mean fewer reloads, and metal housings hold up to constant daily use far better than a desktop unit.


MATCH THE RIBBON TO THE LABEL

Thermal transfer printers need a ribbon matched to the label material. Wax ribbons are the most economical and work well on paper labels for general shipping use. Wax-resin ribbons offer better smudge and scratch resistance, a good middle ground for labels that will be handled more. Resin ribbons are the most durable and are required for synthetic labels like polypropylene or polyester that need to survive chemicals, abrasion, or extended outdoor exposure.


SECTION 05

ADHESIVES AND MATERIALS

The facestock and adhesive on a label matter as much as the print method. The wrong combination can mean a label that falls off in transit or one that is impossible to remove without damaging the surface underneath.

ADHESIVE TYPES
PERMANENT
The standard choice for address and shipping labels. Bonds firmly and is not designed to be removed cleanly. Used on most stock and thermal labels.
REMOVABLE
Peels away cleanly without leaving residue. Useful for temporary pricing, returnable totes, or surfaces that cannot take a permanent label.
FREEZER-GRADE
Formulated to stay tacky in cold storage and refrigerated environments where standard adhesive can lift or fail.

FACESTOCK MATERIALS
PAPER
The standard facestock for stock printed labels, laser sheet labels, and most direct thermal and thermal transfer labels. Cost-effective and works well for general indoor use.
SYNTHETIC (POLYPROPYLENE / POLYESTER)
Resists water, oil, and abrasion better than paper, making it suitable for outdoor exposure, chemical contact, or industrial handling. Available for thermal transfer labels.


MATCH THE ADHESIVE TO THE SURFACE

Permanent adhesive on a cardboard box is fine. The same adhesive on furniture, finished wood, or items that may be returned for a refund can cause damage or leave a sticky residue when removed. If there is any chance the label needs to come off later, ask about a removable or low-tack option before ordering in bulk.

SIZING AND APPLICATION

Picking the right label size and applying it correctly affects how well it scans, how long it lasts, and how professional the final package looks.


COMMON SIZES

4" x 6"  is the standard for most carrier shipping labels and works with both direct thermal and thermal transfer printers.

2" x 1" / 1" x 1"  sizes are common for product identification and small barcodes.

1" x 2-5/8"  is the most common laser sheet address label size, fitting 30 per sheet.


APPLICATION TIPS

Clean surface: apply labels to a clean, dry, flat surface for the strongest bond.

Avoid seams: don't place a shipping label over a box seam or taped edge, which can cause it to lift.

No wrinkles: keep barcode labels free of wrinkles and air bubbles so scanners read them on the first pass.

CHOOSING LABELS BY VOLUME

How many labels you print in a day or week is one of the biggest factors in which type makes sense. Matching the label type to your actual volume keeps your packing line moving and avoids over-buying equipment you don't need.

01 LOW VOLUME A handful of labels a day or week. Laser sheet labels are the simplest option since they run through equipment you likely already have.
02 MODERATE VOLUME Dozens to a few hundred labels a day. A desktop direct thermal printer keeps pace without the ribbon and setup that thermal transfer requires.
03 HIGH VOLUME Continuous packing line or distribution center output. Industrial thermal printers, paired with thermal transfer, handle sustained daily runs.


DON'T FORGET STOCK PRINTED LABELS

Regardless of volume, if you are repeating the same handling or safety message on cartons, a roll of stock printed labels is worth keeping on hand alongside whichever address or shipping label system you use.
